Position Overview

As the Front Office Staff, you are the first friendly interaction with our patients and families to build everlasting relationships to ensure their visit exceed their expectations.  The primary responsibility will be to greet every child/parent, check patients in/out, schedule and confirm appointments via phone, email and in person and process insurance claims and insurance verifications.  Our goal is to have every staff members offer the best customer service experience by using your interpersonal skills to establish relationships with patients and co-workers. To be successful, you will need to have a great attention to detail, as well as passion for helping others (staff and patients). 

Responsibilities and Duties

  • As the face of the company, you will greet and welcome patients to the practice with a genuine smile
  • Answer and respond to telephone calls and emails in a professional and kind manner 
  • Check in, schedule new and existing patients with their doctors and confirm appointments
  • Utilize the ASAP appointment list to provide patients earlier appointments if possible
  • Record referrals and first visits for all patients
  • Gather and accurately record insurance information from patients 
  • Notify parent(s) of any outstanding copays and collect payments, review the financial arrangement for accuracy and update if needed
  • Keep records of patient conversation, parent(s) questions, requests of patient records, and any other patient interaction 
  • Participate in staff meetings
  • Be involved with office community outreach events
  • Perform other tasks as assigned by any doctor or management

Qualifications

  • 1 year of experience in the hospitality field is preferred
  • Knowledge of basic Dental terminology is a plus
  • Ability to handle all patient information in compliance with HIPAA privacy and security regulations
  • Working knowledge of Microsoft Office, Gmail, google docs and slack
  • Strong written and verbal communication skills and interpersonal amongst parents, children and co-workers
  • Team player and self-motivated

 Physical Demands

  • Must be able to lift up to 45 pounds without assistance
  • Occasional standing and bending are required
  • Regular computer Use

  • General dental office environment.

Position Overview

As a Pediatric Registered Dental Assistant, you will be focused on patient care and building relationships. You will be representative of Bay Area Kids Dentist’s Core Values to our Team Members and our Patients. Your focus will be creating the best environment for any family that walks through the front doors through hospitality, education, and excellence in dentistry. Our RDA’s will perform all Registered dental assisting duties in accordance with the rules and regulations of the California Board of Dentistry.

Responsibilities and Duties

  • Welcome pediatric patients and parents in a comforting manner to prepare them for upcoming treatment/ hygiene/ exam visits
  • Educate patients and family members in oral hygiene and preventive care
  • Review dental treatment consent forms with parents
  • Perform Prophylaxis for hygiene patients
  • Place sealants for eligible patients
  • Review patient’s medical history with parent
  • Assist the dentist during a variety of pediatric dental treatment procedures including 4-handed dentistry
  • Prepare cements, liners, and take impressions of patient’s teeth for certain procedures
  • Take x-rays on pediatric patients, process and mount them correctly.
  • Clean, sterilize, and set up hygiene and treatment trays.
  • Stock, store, and take inventory of supplies and materials.
  • Test and maintain equipment (sterilizer, y, x-ray processor, etc.)
  • Ability to assist in patient scheduling
  • Confidently discussing treatment recommendations with patients
  • Write notes in practice management software
  • Uphold OSHA Standards and Infection Control Protocol

Qualifications

  • 1 year of experience as a Dental Assistant is preferred however NOT required
  • Team player and self-motivated
  • Registered Dental Assistant licensed by the State of California.
  • Coronal Polish Certification
  • Radiation Safety Certification or completion of a radiation safety course approved
  • Current BLS CPR Certification.
  • High School Diploma or equivalent, GED.
  • Ability to handle all patient information in compliance with HIPAA privacy and security regulations
  • Working knowledge of Gmail, google docs and other messaging systems
  • Strong written, verbal and interpersonal communication skills with parents, children and co-workers

Physical Demands

  • Must be able to lift up to 25 pounds without assistance
  • Occasional standing and bending are required
  • Regular computer usage

  • Test and maintain equipment (sterilizer, y, x-ray processor, etc.)
  • Record patient notes in chart for any patient visit
  • Educate and inform patients about proper dental hygiene and dental sealants
  • Uphold OSHA Standards and Infection Control Protocol

Qualifications

  • No experience required however, 1 year of experience is preferred
  • Passionate about working with kids and families
  • Desire to be part of a team and build relationships
  • Fast learner and ability to retain knowledge of new concepts
  • High School Diploma or equivalent
  • Demonstrates knowledge of dental terminology
  • Ability to handle all patient information in compliance with HIPAA privacy and security regulations

Next to the Orthodontist, the Treatment Coordinator is the most impactful staff member for a patient’s treatment acceptance. This position requires deliberate patient connection starting with your personal presentation, advance planning, anticipation of frequently asked questions, and the ability to be ahead of the curve in patient education. Your goal will be to create trust between you and each family through relationship-building. The treatment coordinator will start the consultation appointment by reviewing all the treatment options, risks and benefits of getting the treatment started, and answer any questions the parent/patient may have. Secondly, the position requires the coordinator to be an expert in presenting treatment plan options and financial estimates after getting insurance verification and breakdowns. The treatment coordinator must be able to communicate with patients/parents in a friendly and professional manner.

Responsibilities and Duties

  • As the face of the Bay Area Orthodontics, you will carry out our Mission through hospitality and patient education
  • Responsible for answering emails and phone messages in a timely manner
  • Gather and accurately record insurance information from patients
  • Review, save, and update any financial arrangements and treatment consents in the patient’s file
  • Process and record monthly patient payments
  • Present weekly and monthly reports to management
  • Responsible for accurately billing all orthodontic claims
  • Manage Insurance and patient account aging
  • Keep records of patient conversation, parent(s) questions, requests of patient records, and any other patient interaction
  • Participate in staff meetings
  • Be involved with office community outreach events
  • Perform other tasks as assigned by any doctor or management

Qualifications
